RevOps Client Intake Pipeline: Squarespace → Zapier → HubSpot + Gmail
Goal
Reduce leakage by decreasing time from form completion to follow-up, with follow up goal being less than 1 hour (closer to 5 minutes) after form completion.
What it does A fully automated client intake system that captures leads, enriches contact data, notifies me, and drafts a personalized follow-up — without manual input.
The Stack Squarespace (intake form) → Zapier (automation layer) → HubSpot (CRM + deal pipeline) → Gmail (outreach)
What I Built
Intake & Capture Custom qualifying form on Squarespace that collects lead name, company, business type, and pain point
CRM Automation Zap that fires on form submission and automatically creates a Contact and Company record in HubSpot with form data mapped to the correct properties
Data Enrichment HubSpot enrichment layer that pulls additional company and contact data where available, populating the record without manual research — This is in testing, figuring out whether to best apply Breeze AI, do a web search, or use Zapier feature.
Lead Notification Automated email to me with full contact and company details the moment a lead comes in — no dashboard checking required
AI-Drafted Follow-Up Zapier AI step that generates a personalized follow-up email with suggested call times, ready to review and send
Pipeline Stage New Inquiry → Diagnosed → Proposal Sent → Closed
Why it matters This is the same system I would build for a client. It demonstrates end-to-end RevOps thinking — from first touch to pipeline visibility — applied at real scale.
